Data protection at LegalEase

Privacy notice (English summary)

How Watt Mind Kft. and the law firm share controller and processor roles, what the LegalEase Word add-in sends, where it is stored and for how long. The governing version of this notice is the Hungarian one.

1. Governing language and scope

This page is the English version of the LegalEase privacy notice, published for non-Hungarian customers and for Microsoft AppSource certification. The governing text is the Hungarian „Adatkezelési tájékoztató” at /informaciok/adatkezeles/; in case of any discrepancy the Hungarian version prevails.

LegalEase is operated by Watt Mind Korlátolt Felelősségű Társaság (Watt Mind Kft.), Hungary. Contact: support@legalease.hu. Processing is governed by Regulation (EU) 2016/679 (GDPR), Hungarian Act CXII of 2011 on informational self-determination, and Hungarian Act LXXVIII of 2017 on the activities of attorneys.

2. Controller and processor roles

Watt Mind Kft. acts as an independent controller (GDPR Art. 4(7)) for visitors to the public pages, beta applicants, account and sign-in data of registered users, contractual and billing records, and the technical and security audit logs required to operate the platform.

The law firm using the service is the independent controller for the case files, statements of facts, litigation and contractual material and client data handled in the workspace, under Hungarian attorney law and its own mandate agreements.

For that case material Watt Mind Kft. acts solely as a processor (GDPR Art. 4(8) and Art. 28), on the documented instructions of the law firm. The terms are set out in the Data Processing Agreement (DPA) forming part of the service agreement.

Attorney-client confidentiality is a design constraint for the technical and contractual controls; the architecture alone is not a complete legal compliance guarantee.

3. The LegalEase Word add-in

The Word add-in connects a document open in Microsoft Word to the LegalEase workspace. A working copy of the open document is uploaded automatically, without a separate confirmation, as soon as the user opens the chat surface for that document; the attachments line under the conversation always names the exact location of the copy. Uploading can be paused at any time with the "Dokumentum küldésének leállítása" (stop sending the document) switch in the chat header's (i) menu: from then on nothing of the document leaves the machine and the assistant answers without it.

What is transmitted: the whole open document, not only the selected passage. The add-in uploads a snapshot to the `word/` directory of the chosen workspace (matter, office workspace or scratchpad), as `<workspace>/word/<filename>.docx`. The AI assistant edits that working copy in place, and the changes come back into the open document as Word's own tracked changes, for the attorney to accept or reject.

Retention: the working copy lives for the lifetime of the workspace. A scratchpad workspace is released automatically after four hours of inactivity, together with the working copy it holds. A copy in a matter or office workspace persists for the lifetime of that workspace, subject to the document-removal rules of the Hungarian notice.

Who can reach it: the working copy stays inside the law firm's workspace and is available to the firm's users entitled to that workspace, and to Watt Mind Kft. to the extent necessary to operate the service.

Model providers: document content is also transmitted to the AI model providers used by the service, within the recipient scope described in the Hungarian notice and under the DPA. As elsewhere in the service, we do not promise general anonymisation and do not claim exclusively zero-data-retention model usage; bring-your-own-key does not by itself mean zero retention.

No PII screening for Word requests. This is a deliberate product decision: the personal-data screening and pseudonymisation applied on the OnlyOffice and chat surfaces does not run for requests originating in the Word add-in, so the document is transmitted with the personal data and attorney-client material it contains. The add-in must be used with that in mind: opening the chat means the working copy of the open document is transmitted.

Legal lookups: the legal checks (legal basis, reference verification, in-force check, case law, quotation insertion) also use the selected passage for queries against the LegalEase Lex legal corpus.

Roles: for document copies originating in Word the roles are identical to those for case files uploaded to the workspace — the law firm is the controller, Watt Mind Kft. the processor under Art. 28.

4. AI providers, retention and your rights

Text sent to a model may contain personal data and attorney-client material. Recipients, transfer conditions and safeguards are described in the Hungarian notice's recipient table, together with the relevant provider agreements. Audit and technical logs are kept to make events traceable; their scope, access and retention are set by the notice and the processing terms.

Data subjects may exercise their rights of access, rectification, erasure, restriction, portability and objection. For case material the law firm is the controller and is the first point of contact; Watt Mind Kft. assists it as processor. Requests may be addressed to support@legalease.hu.

Complaints may be lodged with the Hungarian National Authority for Data Protection and Freedom of Information (NAIH) or with the competent court.

5. Changes

This notice is valid until withdrawn. Watt Mind Kft. may revise it when legislation, regulatory practice or the technical background changes. The current version is always published on this page, and registered users are notified of material changes in the product or by e-mail.
